OFFICE ADMINISTRATOR / BOOKKEEPER

The office administrator is responsible for delivering professional
administrative and clerical services and support to the CEO to ensure
effective, efficient and professional operations at Blue Box Creative
Arts Therapy Centre. The administrator hours are up to **Apply on the
website**hrs hours a week.

SCOPE

The office administrator reports directly to the CEO and is
responsible for providing administrative ,bookkeeping and clerical
services. Providing these services in an effective and professional
manner so as to ensure that Blue Box Creative Arts Therapy Centre
operations are maintained in a professional and efficient manner.

RESPONSIBILITIES

1. Provide administrative support to the CEO to ensure that the Centre
operations are maintained in an effective and efficient manner.

MAIN ACTIVITIES

* Type correspondence, reports and other documents, including email
and grants when requested by the CEO.
* Maintain computer data entry
* Maintain office files
* Open and distribute post
* Distribute correspondence as requested by the CEO
* Maintain website and other social media under the direction of CEO
* Coordinate repairs to office equipment and computers
* Maintenance of Building and Health & Safety procedures.

2. Provide financial documentation to the CEO .

* Emphasis on bookkeeping & data entry for financial reports,.
* Aptitude in statistical analysis, grant reporting, research and
professional frameworks and templates.
* Maintain confidential records and files both financial and
operational.
* Prepare correspondence for CEO as requested
* Support grant typing and preparation where required by CEO
* Prepare packages for grants and meetings when required by CEO

3. Provide Receptions Services

* Greet and assist visitors, ensuring confidentiality
* Answer phones ? professionally,
* Direct calls and respond to inquiries
* Perform other related duties as requested by the CEO

KNOWLEDGE & SKILLS

KNOWLEDGE

* Bookkeeping and data entry procedures essential
* Ability to maintain a high level of accuracy and confidentially
concerning financial and employee files and service users
* An understanding of Charity procedures,

SKILLS

* Excellent spreadsheet and word processing required, including
strong proficiency in current versions of MS Office: Word, Excel,
Access and PowerPoint.
* QuickBooks knowledge
* Fluency in email and internet required
* Strong writing skills with attention to professional ambience,
clarity and accuracy
* Problem solving and self-motivation
* Attention to detail and high level of accuracy
* Excellent interpersonal skills
* Professional discretion
* Effective verbal and listening skills
* Confidentiality essential and professional conduct
